What the site does
It lists upcoming events run by student societies at King's College London. It finds them by reading recent public posts from the societies' Instagram Business and Creator accounts.
Information about societies
- Where it comes from: Meta's official Instagram API. For most societies we read public posts through Instagram's Business Discovery feature. For societies that connect their account on our For societies page, we read their posts with the permission they gave.
- What we read: each post's caption, images, date and link, the number of likes and comments on recent posts, and the account's follower count.
- How it's used: an automated service (Google's Gemini API) reads each new post once to find event details. The images are deleted once the post has been read. We show the event's title, date, time, place and a one-line summary, with a link to the original post. Like and follower counts are used only for the leaderboard.
- How long we keep it: events are kept until they have happened. Posts waiting to be read are dropped after 30 days. Like counts are kept for 60 days. A connected society's login is deleted as soon as it disconnects.
Information about visitors
The site has no accounts, adverts or tracking. The server keeps a short technical log of requests (time, page, IP address) to keep the site running. When a society connects its Instagram, a temporary cookie protects the login for up to 10 minutes. The site counts how many times its main page is opened, without recording who opened it. While the site is in private beta, a cookie remembers for 90 days that you entered the password. If you use the removal form, we keep what you type in it until we've dealt with the request.
Who else handles the data
Meta (Instagram) provides the posts. Google processes new posts to find event details. Our hosting provider stores the site's database. We never sell or share the data.
Legal basis and your rights
We rely on legitimate interests: helping students find society events, using posts the societies chose to make public. You can ask for a copy of what we hold, ask us to correct or delete it, or object to its use. Ask us to remove a society or contact us at [contact email: set SITE_CONTACT_EMAIL]. You can also complain to the UK Information Commissioner's Office (ico.org.uk).
